What information we collect, use, and why

We collect information you provide directly to us (such as your name, email address, phone number, and travel preferences when you fill out the contact form). We also automatically collect certain technical details via Wix, such as your IP address, browser type, and cookie data.

Where we get personal information from

We receive personal information directly from you when you interact with our website, complete our online contact or inquiry forms, or communicate with us by email. We also collect data automatically via essential and analytical cookies as you navigate our site.

Lawful bases and data protection rights

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases on the ICO’s website.

Which lawful basis we rely on may affect your data protection rights which are set out in brief below. You can find out more about your data protection rights and the exemptions which may apply on the ICO’s website:

If you make a request, we must respond to you without undue delay and in any event within one month.

To make a data protection rights request, please contact us using the contact details at the top of this privacy notice.

Our lawful bases for the collection and use of your data

Under UK data protection law, we must have a "lawful basis" for collecting and using your personal information. Depending on how you interact with The Cove Travel, we rely on the following bases:

  1. Contractual Obligations: We process your personal information where it is necessary to take steps at your request before entering into a contract, or to perform a travel booking contract we have entered with you.

  2. Legitimate Interests: We collect and use your data to respond to travel queries, manage complaints, and handle future travel-related communications. This benefits you as a customer and helps our organisation run smoothly without causing you undue risk or harm.

  3. Consent: We rely on your clear consent when you sign up for our travel newsletter or accept non-essential cookies via our site. You can withdraw your consent at any time.

How long we keep information

We only retain data for as long as necessary to fulfil its original purpose:

  • General Inquiries: Information for general inquiries, communication logs, and travel inquiries that do not result in a booking are securely deleted after 2 years.

  • Booking & Financial Records: If you book a trip with us, we retain your transaction, billing, and booking information for 6 years following the end of the financial year to comply with UK tax law (HMRC) and legal claims regulations.

How your data is stored and processed

Our website is hosted on the Wix.com platform. Wix provides us with the online platform that allows us to present our travel services to you. Your data may be stored through Wix’s data storage, databases, and general Wix.com applications.

International data transfers

Because Wix operates globally, your data may be transferred to, stored, and processed outside of the United Kingdom, including in the United States, Ireland, and Israel. Wix protects this data using legal frameworks such as Standard Contractual Clauses (SCCs) and relies on Israel's adequacy status recognized by the UK government.
